1. About this policy
Elevation Tutoring collects personal information about students and their parents or guardians so it can run maths classes. This policy explains what personal information we collect, why we collect it, how we use and share it, and how you can access, correct or request deletion of your information.
Elevation Tutoring is a registered business name of Nikiel Jordan Govender, a sole trader (ABN 17 769 220 123) based in Canning Vale, Western Australia, teaching Year 7 and Year 8 students.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), whether or not the Act binds a business of our size.
In this policy, "we", "us" and "our" mean Elevation Tutoring. "You" means a parent or guardian dealing with us, and "your child" means the student enrolled in our classes.
2. What we collect
We collect only what we need to teach your child and stay in touch with you. We collect two main categories of personal information:
Parent or guardian details
- Full name
- Email address
- Phone number
- Suburb or postal address, where needed for invoicing
- Your relationship to the student
- Emergency contact details
Student details
- Full name and preferred name
- Year level and school
- Date of birth, where we need it to place a student in the right class
- Work completed in class, assessment results and progress notes
- Attendance records
- Any learning needs, access requirements or medical information you choose to tell us so we can support your child safely in class
We do not collect payment card numbers. Fees are paid by bank transfer or cash. We generally receive the payer name, payment reference and other transaction information made available by our bank, along with the invoices we issue.
If you would rather not give us a particular detail, tell us. We will say whether we can still run the class without it — usually we can.
3. How we collect it
Almost everything we hold comes directly from you, the parent or guardian.
| How | What we collect that way |
|---|---|
| Enrolment form on our website or on paper | Parent and student details listed above |
| Email and SMS | Enquiries, scheduling changes, progress questions |
| Phone calls | Enquiries and enrolment details, which we then write down |
| Instagram or Facebook messages | Initial enquiries only — we move enrolment to email |
| In class | Attendance, work completed, assessment results, progress notes |
We do not buy contact lists or collect personal information from data brokers.
If someone other than you gives us your details — a friend who refers you, for example — we will tell you we have them the first time we make contact, and remove them if you ask.
4. Why we collect it
We use personal information for the following purposes, and for other related purposes where permitted or required by law:
- Enrolling your child and placing them in the right class.
- Running classes, including preparing materials pitched at your child's level.
- Tracking progress and reporting it back to you.
- Contacting you about schedules, class changes, cancellations and account matters.
- Contacting you or your nominated emergency contact if something happens in class.
- Issuing invoices and keeping the financial records the law requires us to keep.
- Sending occasional updates about our classes, if you have opted in. Every such message includes a way to unsubscribe, and unsubscribing does not affect your child's enrolment.
We do not use your child's name, face, voice or work in our social media or marketing without asking you first, in writing, for that specific use. Consent given once can be withdrawn at any time by emailing us, and we will stop using the material in anything we publish from then on.
We do not sell, rent or trade personal information.
5. Who we share it with
Elevation Tutoring is run by one person, so your information is not passed around a team. It is shared outside the business only in these situations:
| Who | What they see | Why |
|---|---|---|
| Google Workspace and Microsoft 365 | Anything held in our email, documents or spreadsheets | We use their software to run the business |
| A school or another tutor | Progress information, only where you ask us to send it | At your request |
| Police, a court, or a child protection authority | Whatever is required | Where required or authorised by law, or where disclosure is reasonably necessary to lessen or prevent a serious threat to a person's life, health or safety |
Anyone who helps us is required to keep your information confidential and to use it only for the purpose we gave it to them.
Overseas disclosure. We do not generally disclose personal information directly to overseas recipients. However, we use cloud services including Google Workspace and Microsoft 365, which may store or process information on servers located outside Australia, including in the United States. Those providers handle information in accordance with their applicable privacy, security and contractual terms.
6. How we store and protect it
We take practical steps to keep your information safe:
- Records are held in Google Workspace and Microsoft 365 accounts, protected by strong, unique passwords.
- Devices used for the business are locked with a passcode and encrypted.
- Paper enrolment forms are entered into our system and then stored securely or destroyed.
- Elevation Tutoring is run by one person, so Nikiel Govender is the only person with access to student and family records.
No system is perfectly secure. If a data breach occurs that is likely to result in serious harm, we will tell you and, where required, notify the Office of the Australian Information Commissioner as soon as we reasonably can.
How long we keep it. We keep student and parent records while your child is enrolled and for 2 years afterwards, in case you return or ask for past progress records. Financial records are kept for 5 years, as tax law requires. After that, we take reasonable steps to delete or de-identify information we no longer need to keep. You can ask us to delete it sooner — see section 9.
7. Our website
You can browse our website without telling us who you are.
Apart from standard technical information that may be recorded by our web host, the personal information we actively collect through our website is information you choose to submit through an enquiry or enrolment form. We do not run Google Analytics, advertising pixels or any other visitor tracking, and we do not use advertising or analytics cookies to profile visitors.
Our web host may keep standard server logs, such as IP addresses and page requests, for security and reliability. We do not use those logs to identify individual visitors.
Our website may link to other sites, such as our Instagram page. Once you follow a link, that site's own privacy policy applies, not ours.
8. Children's information
Our students are children, and we treat their information accordingly.
- We deal with the parent or guardian, not the student, on anything to do with enrolment, accounts or personal information.
- We ask a parent or guardian to complete the enrolment form and give consent on the student's behalf.
- We collect the minimum we need to teach the student well, and we do not ask students for personal details in class beyond their work.
- We do not use students' details for advertising or profiling, and we do not let anyone else do so.
- Students are not asked to create accounts on third-party platforms without a parent's knowledge.
Older students can ask to see their own progress records. We will usually provide them, and will let the parent or guardian know.
9. Seeing, correcting or deleting your information
You can ask us at any time to:
- Show you what we hold about you or your child.
- Correct anything wrong or out of date.
- Delete information we no longer need to keep.
- Stop sending you marketing messages.
Email team.elevationtutoring@gmail.com with what you want. We do not charge for this. We will take reasonable steps to verify your identity first, usually by confirming that the request has come from the email address we have on file, and will respond within 30 days, normally much sooner.
If we cannot do what you ask, we will tell you why in writing. We may have to keep some records, such as invoices, for the period tax law requires even after you leave.
10. Complaints
If you think we have mishandled your personal information, please tell us so we can investigate and respond.
- Email us at team.elevationtutoring@gmail.com with "Privacy complaint" in the subject line. Set out what happened and what you would like done.
- We will acknowledge your complaint within 5 business days and provide a written response within 30 days.
- If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Complaining costs you nothing and will not affect your child's place in class.
11. Changes and contact
We update this policy when what we do changes. The current version is always available at elevationtutoringperth.com/privacy, with the date at the top. If a change materially affects how we handle your information, we will email enrolled families before it takes effect.
